Front Desk Receptionist
Lighthouse Lab Services is seeking a friendly, outgoing, and service-oriented Front Desk Receptionist to be the first point of contact for clients, guests, and team members. The ideal candidate will love answering phone calls, greeting visitors with a positive attitude, and offering proactive support in a busy, multitasking environment. We need someone who is highly organized, takes initiative, and can prioritize while delivering exceptional customer service. Strong communication skills (written and verbal), a team player mindset, and tech-savviness are essential to navigate our systems and streamline processes.
Essential Functions & Basic Duties:
- Greet guests and team members with a warm, friendly attitude, and answer phone calls promptly, directing them to the appropriate departments.
- Provide general office administrative support, including replying to emails, filing paperwork, ordering supplies, and keeping the office organized.
- Develop creative solutions for recurring customer requests, providing proactive assistance.
- Offer general administrative support to the team, ensuring smooth day-to-day operations.
- Coordinate meetings, luncheons, and events internally with staff and externally with clients and vendors.
- Assist with preparation of documents, presentations, and follow-up tasks from meetings.
- Help manage the shipping, packaging, and tracking of correspondence and packages.
- Support process improvements by identifying opportunities for greater efficiency and organization.
- Maintain confidentiality of sensitive materials and ensure company policies are adhered to.
- Assist in generating client and staff communications as needed.
- Promote company culture initiatives through newsletters, announcements, and event coordination.
- Perform other administrative duties and assist with special projects as assigned.
High School Diploma or equivalent. Previous administrative experience is preferred. Proficiency with Microsoft Office (Outlook, Word, Excel) is required. Experience with creative software like Canva or Adobe Illustrator is a plus.
Benefits:
Hourly wage of $18-20 per hour
Full-time, Monday - Friday, with 8:00am - 9:00am arrival time and some flexibility/remote work possible
